Administrative Assistant - Tucson

 


Salary: DOE (Depending on Experience)

Location: Tucson, AZ

Status:  Full-time, hourly
Position Reports to: Area Director

Special Olympics Arizona is searching for an experienced Administrative Assistant to join our team.

 


Duties & Responsibilities:



This position provides administrative support to the Area Director and Development Staff. Responsibilities include, but are not limited to: calendar management (scheduling meetings and appointments); preparation of presentations; maintain and publish agendas for various meetings along with attending and capturing the actions items from these meetings; pro active follow-up on deliverables and commitments; data entry; report generation and more. Incumbent is expected to build and maintain positive relationships with staff, athletes, volunteers and community partners.

 


Essential Functions:
 

  • Supports Area staff with administrative duties
  • An analytic self-starter with strong organizational skills
  • Strong orientation for accuracy and completeness
  • Excellent internal & external communication and customer service skills
  • Ability to handle the pressure of interruptions while working on multiple tasks
  • Ability to analyze and disseminate data to produce reports in support of responsibilities
  • Can exercise discretion and independent judgment, including ability to handle confidential information
  • Greets visitors; answers telephone calls
  • Sort and distribute mail and packages
  • Organizes and maintains file system
  • Orders and maintains office supplies and arranges for equipment maintenance
  • Perform all other duties as designated


 

Minimum Qualifications:
 

  • High School Diploma or equivalent and five years related experience and/or training; or equivalent combination of education and experience
  • Bachelor’s degree in Business, Communications or related field preferred
  • Must have a minimum of 5 years administrative experience
  • Software requirements: MS Office: Word/Excel/Outlook/PowerPoint
  • Must be a team player, detail-orientated, and flexible
  • Some evening work and/or weekend availability may be required as needed based on area competitions and event obligations
  • Self-starter and able to work with limited supervision

 
 


Knowledge and Abilities:
 


Ability to read, analyze, and interpret general business reports and documentation. Ability to write reports and/or business correspondence. Ability to effectively present information and respond to questions from other employees.

Office Volunteers

 

Special Olympics Arizona is seeking office volunteers to assist with light clerical and administrative support. Candidates should have excellent communication and organizational skills.  Duties may include but are not limited to:

 

  • Assisting with mailings

  • Data entry

  • Answering phones

  • Filing

Internships

 

Special Olympics Arizona is always seeking motivated and responsible interns to assist the Events and Sports departments in projects and upcoming events.  These internships provide great opportunities for college students to gain valuable work experience in a fun, fast-paced nonprofit organization.  We will coordinate our available internships with any required course work.
